Liability and Cancellation Information

Liability

The participants bear sole legal responsibility for their participation on the Trip (as that term is defined in the various forms which we will provide you in advance). The University (formally the Governors of the University of Alberta) and its faculties, employees, and agents is not liable for any injuries or damages the participants might suffer in any way related to the Trip.

Particulars of the University's limitations of liability will be set out in the forms provided for you to review and consider before signing. Where this page's descriptions may differ from the forms' language, or where they set out terms and conditions in greater detail than here, the forms govern.

In addition to the terms and conditions set out in the forms, certain other conditions apply to the Trip:

  • If any of the academic resource persons becomes unavailable to fulfill his or her obligations to teach orientation sessions or accompany the participants on tour the University has the right to replace that person with another who, in the its opinion, has suitable credentials to undertake those responsibilities.

  • The passage contract when issued by the airlines chosen by each travel participant constitutes the sole contract between those airlines and their passengers. The University has no obligation to the participants regarding airline travel.

  • All prices are based on current international exchange rates, and are subject to change to reflect any fluctuations in currency rates or other costs incurred by the University. Any increases may be passed on to the participant.

  • In the event that it becomes necessary or advisable to alter the itinerary or arrangements for any reason whatsoever, such alterations may be made. Additional expenses, if any, may be borne by the participants.

  • Participants will be required to follow an active travel itinerary and should be aware that they may be required to confirm that their current medical condition is sufficient to meet the planned itinerary. In the event that a participant fails to deliver such proof or, on delivery of such proof, if in the discretion of the University it is not satisfactory, the University has an absolute right to decline to accept or retain as a member of the tour any person, or to set out limits on the participant's activities. In any event, the participants alone are responsible for their medical health while on the Trip, not the University.

Personal travel accident and health insurance

The University's insurance will not cover participants. Each participant will be required to arrange comprehensive insurance coverage against any risks they may experience on the trip, including travel accident insurance, out of country medical and health insurance, loss or damage to luggage insurance, and trip cancellation insurance sufficient to meet their travel needs.

Written confirmation that such insurance coverage has been arranged, and that it will remain in effect for the duration of the trip and for a reasonable period thereafter, will be required on a participant travel waiver form that will be sent to each participant after registration.

Registration, payment, and cancellation guidelines

Please note that cancellations must be received in writing (via email or letter) according to the cancellation dates noted. If you are required to cancel your registration with us, fees will be assessed per person, as follows:

  • Cancellation any time until May 30, 2020 (inclusive):
  • Non-refundable deposit is forfeit
  • Other costs paid will be refunded
  • Cancellation any time between May 30 and June 25, 2020 (inclusive):
  • 50% of the trip cost per person will be forfeited
  • Cancellation any time between June 26 and October 7, 2020 (inclusive):
  • 100% of the trip cost per person will be forfeited

*Note that there will be no cancellation fee if you are able to provide a substitute to take your place on the trip

Please note that the Trip may be cancelled due to low enrollment or other circumstances beyond our control. If the course is cancelled by us, you will receive a full refund of any deposits or registration fees you have paid to us.

Privacy

The University collects personal information related to the Trip under the authority of Section 33 (c) of the Alberta Freedom of Information and Protection of Privacy Act and will be protected under Part 2 of that Act.
