This position is a member of the Campus & Community Recreation Team. Campus & Community Recreation (CCR) offers programs, services and facilities aimed to meet the needs and interests of the broad range of communities that we serve. The role of CCR is to support our communities (students, staff, Faculty and community members) to explore and enhance their physical, mental, and emotional well-being through physical and social activity. We strongly believe in the power of recreational activities to support these needs. CCR is more than just a source of activity and event opportunities, it is also an excellent source of employment training and experience.
This position will be based out of the Wilson Climbing Centre. The Wilson Climbing Centre is a brand new modern climbing structure. It was designed in an iconic purpose-built building creating a new gateway to the University of Alberta's North Campus. We are driven by a passion for climbing and are committed to promoting physical activity as a healthy lifetime pursuit.
There are many different aspects that go into running a successful facility/program/event and this position will have a chance to experience and assist in all of these, such as; facility and equipment maintenance, customer service, program development, promotion, scheduling, evaluation and risk management.
This position interacts with groups of individuals within CCR and the University of Alberta offering a variety of programs, facilities and services and must exhibit effective teamwork and communication skills.
This position is designed as an advanced leadership opportunity for those interested in gaining further experience in the area of Recreation Facilities and Programs.
CUSTOMER SERVICE SUPPORT
In consultation with Supervisor:
Desk Duties
- Responds to patron and general public inquiries regarding memberships, policies and procedures, and the services offered by the Wilson Climbing Centre and CCR;
- Responds to patron general concerns and comments;
- Directs or responds to all incoming phone, fax and email inquiries/comments;
- Will be responsible for monitoring, responding to the main Wilson Climbing Wall email account;
- Greets all patrons and confirms use of the facility through membership, programs, drop in or facility booking contracts;
- Administering waivers and orientations to new climbers;
- Provides general information on booking facilities and special events;
- Responsible for procedures of daily drop in use and equipment sign out;
- Registers participants in WCC Programs through RMS as well as setting up a membership;
- Is fully able to take payments in all forms – credit cards, debit, cheque and cash transactions executed at the Wilson Climbing Centre customer service desk through RMS;
- Attend all in-services and staff meetings;
- Monitors and maintains a supplies inventory, reporting to supervisor if supplies need to be replenished;
- Closing duties; including cash out, cleaning responsibilities, locking up and communicating to the Supervisor any pertinent issues that arose during their shift.
Staff Training
- Assists Supervisor with staff on boarding, training and shadow shifts, observing that casual staff are proficient in their duties;
- Provide ongoing follow up in specific areas for staff including emergency procedures, general desk duties, administrative functions in RMS and procedures related to facility policies;
- Communicate duties and confirm understanding of processes with casual staff during shift transition times.
Promotions/Social Media
- Creates, posts and monitor Wilson Climbing Centre social media communications and outlets;
- Responsible for collecting photos and videos for CCR promotional materials for the Wilson Climbing Centre;
- Monitor CCR, University of Alberta, Units and Faculty websites, social media and Van Vliet Complex CCTV’s for opportunities to promote the Climbing Centre and its programs and events.
FACILITY MAINTENANCE and EMERGENCY RESPONSE
In consultation with Supervisor:
- Implements Wilson Climbing Centre, CCR, Facilities & Operations policies, protocols and procedures;
- Ensure users are following the Wilson Climbing Centre Policies, Protocols and Code of Conduct;
- Reports any Risk Management issues to the Supervisor;
- Responds to emergencies within the facility, reports and records incidents and accidents with appropriate paperwork;
- Monitors and addresses cleanliness and overall functioning of the facility, as required;
- Assist the Supervisor in ensuring that regular safety inspections of both the facility and the related equipment are completed by trained staff and documented.
- Assist the supervisor in preparing and monitoring monthly equipment and facility maintenance logbooks;
- With training from the Supervisor, assist the supervisor with Climbing Centre maintenance and repairs (anchors, worn sections, hold attachment fixtures).
ADMINISTRATION
In consultation with the Supervisor:
- Assist in program coding and group booking requests (private rentals, ActiveU, school bookings, etc.);
- Prepare signage as required for program or facility needs;
- Assist in conducting audits on membership and programs to ensure the integrity of data collection;
- Assists with following up with Accounts Receivables for Membership and Programs;
- Other daily tasks as part of the operation of the facility.
Other Duties:
- Representing CCR values, having positive interactions with CCR and University colleagues, providing excellent client-focused service
- Contribute to CCR organized special events as designated on a yearly basis
- Other duties as assigned
Qualifications and Assets:
- Post-secondary education and some experience in facilities and programs, preferably in the recreation setting
- Knowledge and understanding of social media platforms and their respective participants (Facebook, Instagram)
- Knowledge of Wilson Climbing Centre, CCR facilities, programs and services preferred
- Standard 1st Aid and CPR level C (current within 2 years: 1st Aid, and within 1 year: CPR level C)
- Current Police Record Check (vulnerable sector)
- ACMG - CGI level #1 (minimum) is an asset
- Completion of Workplace Violence and Harassment Prevention Mandatory eLearning upon hire
- Must have exceptional organizational, listening, facilitation, presentation, and interpersonal skills
- Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse communityMust be available for dates of employment and attend training sessions
- Must have excellent customer service skills
- Strong organizational, administrative and computer skills an asset
- Responsible, resourceful, and willing to work variable hours and as part of a team
- A pleasant personality together with a positive attitude is essential
- Ability to foster a cooperative work environment, get along and work well with members of the department, supervisors and other employees of the university
- Ability to work evenings and weekends
- Knowledge of Microsoft Office, Google Suites
- Knowledge of Intelligenz is an asset
