The Faculty of Extension’s graduation ceremony is held annually on a Friday afternoon in early June. Students planning to complete their studies by the end of the Winter term (March 31) are eligible to apply for graduation.

Bear Tracks is open for Continuing Education students to apply for graduation from November 1st to February 1st.

Even if you do not plan to attend the ceremony, you must apply for graduation. Failure to do so prior to the February 1st deadline may delay your parchment until the following year.

You must be admitted to your program in order to graduate. General studies students do not qualify for graduation. Please submit your application for program admission well in advance of February 1st to allow adequate time for processing.

A cumulative grade point average (GPA) of at least 2.0 is required to obtain the certificate/citation. Certificate program students with a cumulative grade point average of 3.5 or more will graduate “With Distinction.”

  • 1. Save the date

    2020 Ceremony: Friday, June 12 at 3:00 PM.

    The ceremony is held at the Northern Alberta Jubilee Auditorium located on 114 Street and 87 Avenue.

  • 2. Verify your name and address in Bear Tracks

    Your name will be printed on your official parchment and the graduation ceremony program exactly as it appears in the Parchment Name field in Bear Tracks > Academics > My Academics > Graduation page > Graduation Status panel. 

    Please note that only full names can be printed on your parchment; initials are not allowed.

    Name changes require completion of a Change of Name form. Please make a note on your form that it is “For Convocation Purposes.”

    Name changes made less than one month prior to the ceremony date may not be reflected on the ceremony program due to printing deadlines.

    If not attending the ceremony, a current and complete address is required so we can mail your parchment. Addresses updated less than a week before the ceremony date may result in significant delays in receiving your parchment.

  • 3. Pay any outstanding fees

    Parchments and other official documentation will not be released to students who have outstanding accounts with the University. Therefore, you are urged to clear all outstanding accounts at least two weeks prior to graduation. Use Bear Tracks to check your account.

  • 4. Follow updates to your graduation status

    Use Bear Tracks to check the status of your graduation application. In May, your status will change from Applied to either Expected or Denied.

    Approximately one week prior to the ceremony, students who are expected to graduate will see a status update to Awarded.

  • 5. Verifying graduation status

    Please let us know if you are attending the ceremony by RSVP’ing in Bear Tracks (Academics > My Academics > Graduation > Graduation Status).

    If your plans change, you may change your selection up until three days prior to the ceremony date. RSVP opens on November 1.

Attending the graduation ceremony

  1. Reserve your graduation apparel
  • Graduation apparel must be worn by all graduands participating in the ceremony and consists of:
    • Gown (rental)
    • Graduation cap and tassel (yours to keep)
  • You will be able to reserve and pay for your apparel starting in March.
  • The online apparel booking site is now closed. You can still pay for and pick up apparel when you arrive at the University Bookstore in the Student’s Union Building for your graduation packet.

2. Pick up your graduation packet and apparel

  • On the ceremony date, pick up your apparel and graduation packet between 9:00 a.m. and 1:15 p.m. at the University Bookstore in the Students’ Union Building.
  • The gown must be returned to the Coat Check at the Jubilee Auditorium following the ceremony.
  • Photo identification must be presented when you pick up your packet. If you cannot pick up the packet yourself, it will only be released to an individual who presents a paper copy of the signed Letter of Authorization (PDF).

Contents of your graduation package:

  • Guest Tickets

    Guest tickets are available on a first come, first served basis, up to a maximum of 10. There is no cost associated with graduate or guest tickets.

    We regret that we are unable to reserve tickets in advance. All seating is assigned in the Jubilee Auditorium and all guests (including small children/infants) must have a ticket to enter the ceremony area. Ushers will be available to assist with seating. Designated seating is available for those with accessibility issues and/or wheelchairs.

  • Name Card with seat number

    At the ceremony, you will hand the Name Card to the official reader, who will announce your name as it is printed on this card. The name card also contains your seat number in the Jubilee Auditorium. This is an assigned seat to place you in the order that graduates cross the stage.

  • Parchment

    A parchment is the official documentation of your academic credential containing your name, degree/specialization and academic honors (if applicable).

  • Procedures for Graduands

    This pamphlet describes your role and provides instructions to be followed during the ceremony.

At the venue

Guests and graduates must be seated at least ten minutes prior to the start of the ceremony in preparation for the Academic Procession. 

The ceremony is approximately 90 minutes long.

  • Accessibility

    If you or any of your guests require special seating, sign language interpreting services, Braille or large print materials, or any disability-related assistance, please contact the graduation coordinator at 780-492-0999.

  • Parking

    Barrier-free spaces are available on the east side of the auditorium and surface parking is available on the south side of the auditorium. 

    Motorists can access the Jubilee car park from 83rd or 87th Avenue. A parking fee will be charged to park during the ceremony. See Parking Services for details including a map of parking available on campus. 

    Public transit may also be a more favorable alternative to parking.

  • Refreshments

    At the conclusion of the ceremony, graduates and their guests are invited by the University of Alberta and the Faculty of Extension for light refreshments in the lobby.

Receiving your University of Alberta Continuing Education parchment

Parchments are printed once yearly, coinciding with the June graduation ceremony. If you're attending the ceremony, you will pick up your parchment as part of your graduation packet at the University Bookstore on the morning of the ceremony date.

If you're unable to attend the ceremony, you can either pick your parchment up from the Extension Student Services Office the week following graduation, or we will mail it to the home address listed on your Bear Tracks account approximately two weeks after the graduation ceremony date.

Graduation announcements

The Faculty of Extension would like to advise your firm, or anyone else you specify, of your accomplishment. Please take a moment to complete the form and fax it to 780-492-0627. Please note that a maximum of two announcements per graduate will be distributed.

An advertisement will be placed in the University of Alberta's Folio and the Edmonton Journal to congratulate our graduates.




The University has contracted a professional photographer, GradTrak Graduation Images, to take your photograph as you receive your parchment on the day of your graduation. A passport-sized, full-color proof will be mailed to you after the ceremony. 

There is no obligation to purchase, and you will have the option of ordering several enlargement packages at reasonable prices. GradTrak Graduation Images (tel. 1-800-424-3686) guarantees complete satisfaction with your photograph or you will receive a full refund.

Parchment Frames

For your convenience, the University of Alberta Alumni Association will be set up at the Jubilee Auditorium on the Graduation date if you wish to purchase a frame for your parchment while attending your ceremony. The frames are available in six styles ranging from $72 - $202 and feature the green matte embossed with a gold University crest.
