Additional Hours Worked (Part Time Support Staff)

For benefited Part-Time employees in the same department who are going to be working additional hours the following policy must be followed:

1.If the additional hours to be worked are for a period greater than 3 months but less than 12 months.

  • Submit a Support Staff Appointment/Pay Action form indicating the change in hours per week
  • Nature of Action – Change in Hours
  • Indicate the Start and End Dates for the period of the additional hours
  • Leave Plans, Benefits, and Pension (applicable only if the EE is currently participating in the pension plan) will be processed according to the new weekly hours

These hours cannot be submitted as a Contract for Services.

Example 1: Does not participate in the pension plan.

EE’s part-time position is for 25 hrs per week and they are going to be working an extra 6 hours per week for greater than 3 months but less than 12 months. Submit an appointment form indicating the start and end date and the change in their weekly hours from 25 to 31. All leave plans, benefits will be based on the new weekly hours of 31. The hours attached to the position remain the same – the additional hours are only temporary.

Example 2: Participates in the pension plan.

EE’s part-time position is for 25 hrs per week – they are going to be working an extra 6 hours per week for greater than 3 months but less than 12 months. Submit an appointment form indicating the start and end date and the change in their weekly hours from 25 to 31. All leave plans, benefits and pension will be based on the new weekly hours of 31. The hours attached to that position remain the same – the additional hours are only temporary.

2. If the additional hours to be worked are for a period less than 3 months.

  • Submit an Exception Pay Form indicating the extra hours worked for each applicable day in the 610 section up to the full-time equivalency for that employee.
  • Vacation Pay will be calculated on 610 hours
  • Leave Plans, Benefits, and Pension (if applicable) will be based on the original hours of the position and not on the additional hours worked.

These hours cannot be submitted as a Contract for Services.

Example:

EE’s part-time position is for 25 hrs per week – they are going to be working an extra 6 hours per week for less than 3 months. These 6 hours will be paid at straight time and need to be submitted on an Exception Pay Form under 610 (straight time). All benefits, leave plans and pension will be calculated on the original hours for the position of 25. Vacation pay will be calculated on the additional 6 hours.

3. If the additional hours place the employee in an overtime situation.

Any additional hours worked that are in excess of the full-time equivalency for that employee would be considered overtime and the applicable overtime rates will apply. These hours cannot be submitted as a Contract for Services.

Example:

EE works 25 hrs per week – then works an additional 15 hours – if the fulltime equivalency for this EE is 35 hours - 10 hours would be at straight time (610) and 5 hours would be at overtime rates.
