Visiting Student Policies

Cancelling Elective If the student cancels the elective less than six weeks prior to an elective start date, the U of A electives coordinator will send a letter of unprofessionalism to the student's home medical school. UME will cancel the elective with the department and the site. The student will also be unregistered with the College of Physicians and Surgeons of Alberta. The application fees will be non-refundable.

Changing Elective

Elective changes are not accepted

A student wanting to change an elective for any reason must cancel the application and submit an additional application and fee via the AFMC Student Portal. 

 Immunization Forms

Visting students must use the AFMC Student Portal Immunization & Testing Form to document their immunization records and submit along with their application through the Portal. If it is incomplete at the time of submission, it will be flagged for further follow up. This will not delay processing, however all immunizations must be completed within 30 days of being notified that their application is incomplete.  

Length of Elective

An elective period can be arranged for 1 - 4 weeks in length, depending on individual departments and their availability. 

Financing

Financing for an elective experience is the responsibility of the student.

Criminal Record Check

A criminal record check is required.

Travel

Travel arrangements are the responsibility of the student.

Personal Health Coverage

Personal health coverage is the responsibility of the student.

Netcare Access

Once visiting students have applied through the AFMC Student Portal and their elective is confirmed, a confirmation email will automatically be generated from the AFMC Student Portal with further instructions, including how to request access and the online training link for Netcare. Students MUST request access for Netcare NO LATER THAN 6 WEEKS before the elective start date. Students who do not place this request before the 6 week deadline will not be granted access.

eClinician Access

Once visiting students have applied through the AFMC Student Portal and their elective is confirmed, a confirmation email will automatically be generated from the AFMC Student Portal with further instructions regarding online training modules and confidentiality forms to sign for eClinician. Students MUST request access for eClinician NO LATER THAN 6 WEEKS before the elective start date. Students who do not place this request before the 6 week deadline will not be granted access.

Clinical Jackets & Stethoscopes Clinical jackets and stethoscopes are the responsibility of the student.
Accommodation Accommodations are not arranged by the UME Office. Accommodation information is available and can be located on our AFMC Student Portal Institution Profile page. http://www.afmcstudentportal.ca/Institution/uAlberta
Fitness Centre & Library Borrowing Privileges Fitness centre and library borrowing privileges are not available.
 Parking It is the responsibility of the visiting student to pay for parking during their elective. Parking permits are not granted to visiting students, however there is ample pay parking available on campus and at various elective sites.  
  Pagers

If you require a pager, please go to the Undergraduate Medical Education Office (Katz 1-002, North Campus) prior to the start of your elective. Our office is open Monday - Friday from 7:30am-4:00pm.  

*Summer hours are 8-4pm and closed over the lunch hour from 12-1pm from June - mid-August.
