- Use passwords to protect your meeting
To keep our Zoom meetings more secure, MedIT has enabled mandatory passwords for all meetings.
- Never use your personal meeting ID
Each Zoom user has a personal meeting ID, think of it similar to your Zoom phone number. When creating a meeting, you can use your personal meeting ID or generate a random one, you should always generate a random meeting ID. If your personal meeting ID is leaked, anyone can harass you with calls at any time.
- Control screen sharing
To ensure you are in control of your meetings, MedIT has changed the default screen sharing option for all meetings to only allow the host to share their screen. This restriction prevents unwanted attendees from interrupting the meeting with intrusive sharing. However, this option can be changed from its default setting to allow all participants to share their screen. In the Zoom web portal, go to Settings > Meeting and search for “Screen sharing”.
- Disable Join Before Host
Ensure you have full control of your meetings from the beginning. Participants will be greeted with a message that says “The meeting is waiting for the host to join.”
- Use the Waiting Room
This permits the host to screen everyone entering the meeting to ensure no one uninvited can get in.
- Disable "Allow removed participants to rejoin”
If anyone you have invited is troubling you, make sure to disable “Allow removed participants to rejoin”. This will prevent unwanted participants to rejoin your meeting using the same email address.
- Lock your meeting
Lock your meeting after all intended participants have joined. When you lock the meeting, no new participants can join, even if they have the meeting ID and password. Hosts and co-hosts can lock a meeting by clicking Manage Participants and using the controls at the bottom of the participants list.
- Keep up to date
Make sure you keep any installed version of the Zoom desktop or mobile app up to date. This ensures you have the latest security fixes.
- Never share the Zoom meeting link or meeting ID on public social media or other public outlets
Provide meeting links directly to specific recipients over email. This will reduce your risk of having any unwanted attendees in your meeting.
- Create a webinar instead of a meeting
Consider a webinar for a large group event that doesn’t typically require attendees to interact with one another. Think of webinars like a virtual lecture hall that has one or a few people speaking to an audience. With the reduced interaction with attendees, it reduces the risk of unwanted interruptions during your meeting. Zoom webinars have an additional license fee, please contact MedIT.
