Inviting Academic Visitors

The University of Alberta welcomes many academic visitors who engage in short term activities (seminars, research collaboration, short term teaching etc) which enrich our research and teaching community.

Academic visitors are classified as Persons of Interest on campus and are usually affiliated with an institution or industry. The following are some examples of the types of academic visitors:

  • Visiting/Exchange Professor
  • Research Award Recipient
  • Self-funded Researcher
  • Business Visitor
  • International Experience Canada
  • Student Work Abroad Program (SWAP)
  • International Association for the Exchange of Students for Technical Experience (IAESTE)
  • Global Skills Strategy's short term work permit exemption for high skilled workers

Inviting Canadian Residents/Citizens as Academic Visitors

For Canadian citizens or permanent residents please use this letter template to invite visitors to campus. Once the visitor accepts the invitation, please submit the following required information through an eForm (keyword search POI in Alfresco) for further processing.
  • copy of the Invitation Letter sent by the host department
  • signed Liability Waiver form
  • copy of immigration documents, such as a Work Permit (if applicable)
  • letter from home institution indicating affiliation and preferably liability coverage
  • letter from funding source (e.g. if categorized as a Research Award Recipient)
  • confirmation of IEC (International Experience Canada) or SWAP (Student Work Abroad Program) approval (if applicable)

Once employment services receives the eForm to set up the visitor in Peoplesoft, a proximity ONEcard can be requested through this online form which has an option for the department to provide a speed code for fees. 

A CCID and ONEcard provides access to various campus privileges. Building access can be requested through your department administrator.
