Effective February 2, 2019 the online ethics system will be undergoing an upgrade, which will result in some changes for researchers mostly related to a renewed look and feel throughout the application (fonts, tabs, images, borders, etc.) These changes will provide a more modern aesthetic for the system and will not affect how the system works.
The system may be down intermittently throughout the weekend (February 2 & February 3). Please avoid working in the system during this time as you will be at risk of losing your work.
The system will be business as usual come the morning of February 4.
This upgrade is the first step in a series of planned enhancements to the online ethics application system (REB and ACUC modules), that are designed to provide researchers and the University with improved processes for ethics review. Between the upgrade on February 2, 2019 and the end of the year, researchers, staff and students will see the following changes.
1) Human Module: Reportable Events: A new and simple workflow will be created for researchers to submit all reportable events (i.e. SAEs, Protocol Deviations, Audit Visits) for REB review. This will provide improved tracking of safety related events in human research studies. This change will occur in February/March 2019.
2) NIH Conflict of Interest Module: In Spring 2019, there will be some upgrades to the module for Financial Conflict of Interest declarations. Details will follow to those who hold U.S. Federal Funding or other applicable users of this module.
3) Animal Module: ACUC Post Approval Activity Form Revisions: Work has begun on revisions to the Renewal, Amendment and Closing Report forms for the Animal Module. These forms and the related ACUC review processes are being streamlined as the first stage in a complete overhaul of the Animal Module. To ensure these improvements have input from researchers and other stakeholders, both the work undertaken to date and future revisions, REO is establishing a project advisory group. As well consultation sessions about the proposed changes will be held in mid-February. The revisions to the Renewal, Amendment and Closing Report Forms will be implemented in the spring (March/April). Work will then continue on revisions to the Application Form, with a goal of December 2019 for the new AUP form to be implemented.
4) Human and Animal Modules: Grants/REMO Integration: RSO And REO are working with IST to interface the Grants 3.0 data with the online ethics application to provide a more seamless way for researchers to link their funding with their ethics certifications, by choosing from a pick list of their active projects held at RSO. (Timing to be determined).
5) Human Module: U of A/U of C Exchange Project: The Research Ethics Office has been working with NACTRC and our counterparts at the University of Calgary to link our respective online ethics systems to facilitate review and approval of human participant multi-site research involving Edmonton and Calgary researchers. Multi-site research will be enhanced through streamlined ethics review processes and coordinated operational approval process thus reducing the time to initiate research. Subject to external funding, work will begin in July and the enhancement will be operational in October-November.
6) REMO Rebranding (All modules) - Also in the fall, the online system will be re-branded to reflect the fact that it supports modules for Environment, Health and Safety and NIH Financial Conflict of Interest as well as human and animal research ethics. The rebranding work, like the January upgrade, will have some effect on the look and feel of the system.
