System updates to streamline the appointment process

Based on your feedback, we have made a few updates to the Alfresco Processing System (APS) appointment system and to the casual bulk upload template just in time for the next hiring season. Here are the updates effective April 3, 2024: 

Updates to the APS System 
  • New option to add a standard police information check statement to offer letter: If you are hiring for a role that requires a police information check, just mark the “Include Police Information Check on Offer Letter” checkbox. This automatically includes a standard statement in the offer letter, saving you time from having to manually update the letter. 
  • APS initiator dashboard clean up: To help improve the performance and responsiveness of the APS dashboard, IST has recommended archiving completed appointments over 90 days old and canceling appointments that have been inactive for more than 90 days. Offer letters are still available through other mechanisms, such as downloading through eForm  or by contacting the Staff Service Centre.
  • Updates to the APS eForm Tab: Say hello to a more intuitive, organized eForm tab. You’ll see the same functionality, but now the fields will be organized in a way that mirrors what you see in PeopleSoft. 
  • Restoration of APS Citizenship Field: To enhance data accuracy from the get-go, APS will now feature an optional citizenship field, allowing for all necessary information to be entered up front for all employee types. Note that this is not a new requirement, but this addresses past challenges of incomplete person ID data and immigration compliance. 
 
Casual Bulk Upload Updates 

When we first launched the casual bulk upload template, users found the format easier to initiate multiple offer letters given the ability to duplicate appointments and reduce data entry. Now, based on your feedback, we’ve added a few more improvements: 

  • New employee codes added - In addition to using the casual bulk upload template for Casual 1 and Casual Full-time employees, you can now also use it for Excluded Students!  
  • Just as we’ve done in APS, you can now indicate that a police information check is required for certain hires to ensure that the standard statement is automatically added to all your casual hire offer letters in bulk! 
  • New “Range of hours” column - This column allows you to add text to an offer letter such as “up to 40” hours depending on the circumstances of your hire. This provides flexibility for fluctuating hours. 
  • No more minimum hires - Although the casual bulk upload template was originally created to help you initiate multiple offer letters at once, you can now use the template for less than 10 casual hires.
