Talk to your supervisor about your upcoming project.
Gather information and supporting documentation to help define your project and provide the entire scope.
This can include:
- Detailed CAD drawings
- 3D Models / Assemblies
- Project specifications (pressure, temperature, environment characteristics, etc)
- Detailed hand sketches
- Annotated photos
- Description of required equipment
- Materials and tools required

A service request number is generated, so the request can be identified and tracked.

An email summarizing the information is sent to enggtechservices@ualberta.ca, alerting the staff of the proposed project.

If there are supporting files to be included with the project, a Google Drive folder will be shared to upload your files.

If a work request was submitted, an email is sent to the Account Holder for approval.

The request will be reviewed by the team and moved into the appropriate work queue.
As of August 1, 2026, Engineering Technical Services will have three options for billing:

Time and Materials: the labour, materials, and consumables used will be charged to the job. The internal shop rate is $75 / hr, and there is no markup on materials.

Hard Quote: we will provide a fixed quoted price for your project. Your project scope must be fully defined. In some instances, such as unknown materials or unproven operations, we may not be able to provide a hard quote.

Budget Estimate: we provide an estimated cost for your project. You will be charged the actual time and materials up to a maximum of 130% of the estimated cost.
Please allow for additional time for quotes and estimates. Time to produce these will vary depending on project scope and ETS workload.
The lead time at Engineering Technical Services varies depending on the work queue. If you want an update on your project lead time, please send an email through your service request thread or send an email to enggtechservices@ualberta.ca.
If you have an urgent need, please let us know your timeline and circumstances as soon as possible. We work on a first in first out system - accommodating urgent requests is usually possible but not guaranteed. Be sure to include the request number and the word "URGENT" in the subject line.
We are currently in a transition period to a new ERP system.
For the month of August, we will be wrapping up billing from our previous ERP system.
Future work will be billed within 10 business days of job completion. The account holder will be notified of the total project cost in the form of a summary of charges.
While we certainly don't want to discourage pursuing passion projects as part of your academic journey, our mandate is to support research and course delivery. We are therefore unable to provide support for personal projects.
The Elko Engineering Garage is a great resource for University of Alberta students and staff working on personal projects, while also learning to run a wide variety of equipment, free of charge.
