Procedures

Program Extensions

A student's program may be considered for an extension of up to one year at the time of initial request to the department. Under exceptional circumstances an additional extension of up to one year may be granted by the Faculty of Graduate & Postdoctoral Studies.To request a second extension, the department must submit a Program Extension form and attach the following information:

  • A summary of the student's progress to date
  • The timetable for completion preferably approved by the supervisor and/or supervisory committee
  • An explanatory letter from the supervisor
  • An explanatory letter from the student with the expected date of completion
  • Written departmental recommendation

GPS will return its decision in writing to the department and the student. An approved extension begins when the time limit for the degree has been reached. The Program Extension form is also available in the GPS Forms Cabinet under "Records".

Other Options to Extensions

Departments are reminded that, even if an extension is not in order and if not too many years have intervened, the individual could later seek readmission in order to undergo final examination and, if merited, convocation. However, students whose research involves ethics approval need to be aware that their Research Ethics Board approval to conduct their research ceases when they are no longer a currently registered student.

Students who are interested in readmission should, before attempting any work, develop a plan with their supervisor and their department as to how and when the thesis will be submitted. Students should also be aware that there are no guarantees that they will be readmitted.
