Removal of Timekeeper Access

As part of the Service Excellence Transformation (SET), a number of time and labour initiatives are being introduced this year. The timekeeper role in PeopleSoft will be removed effective February 7, 2022.

If a role requires access to run time audits/reports or view timesheets, please contact IST@ualberta.ca to assign you with the following security roles:

  • ZHTL_TIME_REPORTS, which gives access to time and labour queries and reports
  • ZHTL_GENERAL_TIMESHEET_VIEW, which gives access to view timesheets

Here are some guidelines to assist with this transition:

  • Time audits and exception management for time submitted in PeopleSoft HCM is now handled by the Time and Labour Services Team in Shared Services.
  • Direct time and labour inquiries to the Staff Service Centre.
  • Ensure all support staff, excluded student hourly and academic hourly use time and labour self service in PeopleSoft HCM.
  • Follow the payroll calendar to approve payable time.
  • Supervisors who identify incorrect time entries will either inform the employee to have them make the relevant correction, or make the correction on behalf of the employee.
  • Supervisors correcting employees’ timesheets must add comments on the timesheet to identify errors.
  • Backdated time, which falls within one month prior to the current pay period, can be entered by the employee or the supervisor. Time in excess of one-month prior will need to be submitted on a signed timesheet to the Staff Service Centre
