Events Team Toolkit

Reporting to the Vice President (External Relations), the Events Team plans and runs university events including donor events, alumni education programming, and large-scale events such as Alumni Weekend. Our team of event planners draws on extensive experience to deliver events that support the university's goals and strategic plan, and that provide value to all of the institution's communities and audiences.­

Other teams and individuals across the institution are sometimes called upon to plan and execute university events, and it can be challenging to undertake a project with so many logistics and moving pieces. Members of the University of Alberta community are able to draw upon the experience of the Events Team at any stage during the planning process. In order to make planning information as conveniently available as possible, the Events Team publishes and maintains the Events Team Toolkit—a collection of resources and tips designed to support event planning for new and experienced event planners alike.

  • Tips and resources are arranged chronologically to help structure your planning process: you'll find suggestions for what tasks to accomplish months before your event, and details to be sure to tie up in the days and weeks leading up to the big day.
  • The collective experience of many hundreds of events is captured in the toolkit—use our checklist to help make sure you don't find yourself missing important details during the planning process.
  • A good event is aligned with your unit's strategic goals. The toolkit includes background information on how to plan your event strategically, and how to follow up after the event to capture data and use your event as a stepping stone towards future events.
