Age Policy

Green & Gold Sport Camps are committed to providing developmentally appropriate programs to all our participants. Our age groups are meant to serve as a guide with the understanding that parents will be best equipped to advise on the appropriate camp for their child. Our registration system requires that we determine specific age cut-offs for each camp, but exceptions can be made through consultation with Green & Gold Sport Camp staff. Cancellations, Refunds & Credits

Cancellation requests must be received by the Customer Service Centre prior to the start of the camp by either email activityreg@ualberta.ca or sports@ualberta.ca or call 780-492-2231

  • Refunds will be granted on cancellation requests received 7 days prior to the first day of the registered camp.
  • A 50% cancellation fee will be levied on all cancellation requests received between 1 and 6 days prior to the first day of the registered camp.
  • Once a camp has begun, refunds will not be granted except in the case of extenuating circumstances.
  • In case of injury or illness that occurs prior to the first day of the registered camp, full refunds will be granted when accompanied by a medical note.
  • Partial refunds may be granted in case of extenuating circumstances on or after the first day of the registered camp. Medical notes are required for all refunds requested on the basis of injury or illness.
  • Once the applicable cancellation fee has been levied, you have the choice of receiving a refund or credit.
  • If the original payment was by credit card, refunds will be credited to the card used for the original payment.
  • If the original payment was by cash or cheque, you will be refunded by cheque. This process takes 3-6 weeks.
  • If the original payment was by debit card, the fee will be refunded to your debit card if you request the refund in person at one of our Customer Service locations. If you are unable to make the request in person, you will be refunded by cheque.
  • If you choose to have a credit applied to your account, the amount will be applied and may be used towards camps or other programs and services offered by Green & Gold Sport System or Campus and Community Recreation

Informed Consent and Camp Form

Parents and/or guardians must read and electronically sign/ agree to the online informed consent form for each participant before camp begins. Completed Informed consent forms are good for 6th months after submission.  
Children without completed informed consent forms will not be allowed to participate in camp activities.

There will also be a camp form that needs to be completed for each camp a participant is registered for.  This form includes emergency contact information, allergies that staff should be aware of, friend requests, and more.

Program Policies

  • Green & Gold Camps may be canceled, combined or relocated on short notice. Participants will be notified with as much advance notice as possible.
  • Green & Gold Camps reserve the right to alter lesson plans and age groups as required.
  • Green & Gold Camps reserve the right to remove participants from programs without refund in cases where their behavior negatively impacts the experience of other participants.
  • Green & Gold Camps will not be liable for any items left at camp facilities and may dispose of such property if not claimed and collected within 30 days.
  • Green & Gold Camps reserves the right to search the bags and other personal property of all participants in appropriate circumstances.
  • Camp participants will be liable for any damage caused by actions not related to camp activities or approved by camp staff.

Registration Deadline

  • Requests for registration after the start date and time of the specified camp will be confirmed as soon as possible by camp staff if registration in the camp is possible.
  • Camp registrations will be accepted up to the start date of the specified camp if camp spaces are available. Please note that online registration will close on the Wednesday Evening for camps starting the following week.  Phone and in-person registration will remain open up to the start of the camp.

Transfers

  • If transferring to a camp of higher cost, you will be required to pay the difference in cost between the lower and higher priced camps.
  • If transferring to a camp of lower cost, the difference in cost between the higher and lower priced camps will be refunded.
  • Transfers are permitted only within the same camp programming session and only if space is available.
  • Transferring to a camp at a later date for the purpose of avoiding camp canceling fees is not permitted.
  • Participants who have transferred to a camp later in the summer will be held to the cancellation policies that apply to the camp they were registered in originally except in exceptional circumstances.

Waitlist

  • If your preferred camp is full, your child can be waitlisted and we will contact you if a place becomes available by email or phone. We will use the primary email address on your account or the primary phone number on your account.
  • If you are uncertain of the phone number on your account, please contact our Customer Service Centre (780-492-2231) to confirm. 
  • Once notified of an available space in a camp, waitlisted participants will have 24 hours to confirm their registration with payment.
  • If a space becomes available with less than 72 hours before the start of the camp when there is more than one person on the waitlist, waitlisted participants will be contacted in order and if they cannot be immediately reached, the next person on the waitlist will be contacted until the space is filled.
  • If a waitlisted participant does not respond within the stipulated amount of time, they will be removed from the waitlist. They are free to rejoin the waitlist after this occurs.

Weather Policy 

All Green & Gold Sport Camps take place outdoors either exclusively or periodically and may be affected by weather conditions. Camp participants should be prepared to play in all weather conditions, particularly for camps that are based outdoors (Soccer, Football, Track & Field). Camps will be moved indoors at the discretion of our staff when necessary to manage the risk of extreme weather and every effort will be made to provide a fun camp experience during these instances. Drop off and pick up will take place at the stated location except in cases of extreme weather.


Location Change Process
When a location change has been deemed necessary by camp administrative staff, parents will be contacted via email with the location change and further details.

Extreme Heat Policy
High temperatures can impact outdoor based camps (track and field, soccer, flag football, flag rugby) and mitigating efforts will be enacted during periods of extreme heat to protect the health and safety of camp participants. When outdoor temperatures register between 30-39 degrees celsius according to Environment Canada, outdoor camp participants will be monitored closely by camp staff. Camp activities will be modified to limit exertion levels and more frequent breaks will be provided. Camps will also be brought indoors at more frequent intervals to allow participants to cool down.

When outdoor temperatures reach 40 degrees celsius and above, camp activities will be brought indoors. If adequate indoor space is not available to provide a comparable experience for participants, the camp may be cancelled and pro-rated refunds will be issued.

Air Quality Policy

Once air quality risk reaches level 7 on the Government of Canada Air Quality Health Index (https://weather.gc.ca/airquality/pages/index_e.html), all activities will be moved indoors and programming will be adjusted accordingly. Coaches will use their discretion at levels 4-6 as to whether or not activities should be moved indoors.
