Steps to hire a student

Create an account

  • Create an account on our job portal CampusBridge, with your email address as your username and a password. Should you forget your password simply email us (sciiip@ualberta.ca) we can reset it.
  • Information about your company such as address, contact information and your field of interest for students is required to be filled in.

Submit a job posting on SciWorks

  • On the dashboard of your SciWorks profile, you will see a green button with "Post job" in the upper middle. The job posting form is pretty straight forward, the more detailed information you can provide the higher the interest of students.
  • Information on salary and working hours doesn't necessarily need to be provided, yet filling in a salary range might positively support your job posting. Please also provide information about the requirements for the position. It will help students write their cover letters.
  • Once you completed the job posting we will review and approve it within 24 hours.
  • There are different ways students can submit their application to you:
    • SciWorks with the option of receiving all application as a bundle after the application deadline or receiving applications as they come in, or keep all applications on SciWorks, or
    • your website.

Review the application materials and select candidates for interviews

  • To review applications received through SciWorks, go to your SciWorks' dashboard and click on "internship posting" to view all the job postings you have already posted. Click on the respective job posting and then on the "Application" tab. The number indicated behind "Applications" shows how many applications were received for this position.
  • Downloading all applications received through SciWorks, is easily done by creating an application bundle. Under the tab "Applications", check of the box "All" and select "Download all Applications".

Arrange interviews directly with the students, through SciWorks or with assistance from our SIP team

  • Interviews can either be scheduled through SciWorks or yourself.
  • To schedule the interviews through SciWorks go back to the list of applicants under the tab "Application" (see the section above) and change the application status to "selected for interview" or "not selected for interview" from the drop-down menu for each applicant. Next, click on the green drop down menu "Interview Options" and select "Create an interview schedule". Please follow the instructions and fill in the necessary information on preferred dates, time and location.
  • The SIP team will process your interview schedule within 48 hours or will get back to you.
  • Interviews can also be conducted on campus, let the SIP team know if you require a room booked for you.
  • Please inform interviewed students who did not get the job of the decision.

Extend job offer to the student through SIP team

  • Once you have selected a student you wish to hire, you can extend the offer directly to the student or have the offer be extended through the SIP team, either way, please notify the SIP team who you will hire.
  • Set up an offer letter including the duties, start and end date, department, wage and if possible the supervisor's name. The offer letter can either be sent directly to the SIP team or to the student with the SIP team cc'd. It is important that the SIP team is aware of any offer letter going out to the students.

During work term continuous contact with SIP team

  • Throughout the whole internship, the SIP team will support you and the student to ensure the internship is a great experience for both of you.
  • Touchpoints during the internship are the probationary form after the first three months followed by a site visit (via email, Skype or actual visit, depending on the location of the internship) and the final evaluation at the end of the internship. Your SIP coordinator will be sending you both forms and coordinate the site visit directly with you and the student.
  • Keep in mind both evaluation forms are essential and need to be filled in to determine if the student receives a pass or no pass for their internship
  • Your SIP coordinator can always be reached should there be any questions or issues.
