How to Approve a Credit Card Statement

Approve a Credit Card Statement from either your Gmail inbox or by logging directly into PeopleSoft Financials. 

Send Back a Credit Card Statement by logging directly into PeopleSoft Financials.

Notes:
  • Approve - Card transactions are charged to the speed code/account indicated. ALL TRANSACTIONS MUST BE APPROVED. ISSUE RESOLUTION IS MANAGED WITH CREDITS.
  • Send Back - Credit Card Statement is returned back to the Cardholder to be corrected or modified and then re-submitted. Send Back is used when an incorrect speed code or account needs correction or if information (e.g. attachments, justification) needs to be added.
  • Deny - This feature is not available for Credit Card Transactions.

Email: Approval Request

Open the email in your inbox from “emailapproval” to review the expense line detail of a card transaction (expense type, description, dollar amount) 

  1. Click on the Attachment “Expense_Report_Print.pdf” to view or download the printable claim including the speed code, project details, comments, non-reimbursable expenses and travel advance details
  2. Click Submit near the bottom of the email 
  3. Click OK in the pop-up box indicating you are submitting information to an external page.

Email: Send Back Claim for Revision

  1. Open the email in your inbox from “emailapproval” to review the expense line detail of a Credit Card Statement (expense type, description, dollar amount) 
  2. Click on the Attachment “Expense_Report_Print.pdf” to view or download the complete Credit Card Statement.
  3. In the email, click on the URL link to the Travel and Expenses Approval Page (in PeopleSoft Financials).
  4. Click on the Transaction ID or Description link to open the Credit Card Statement
  5. Review the details of the Credit Card Statement.
  6. Scroll to the bottom of the page to view action buttons.
  7. Click the Send Back button
    Note: You will be prompted to enter comments, which will be recorded on the Credit Card Statement and emailed to the cardholder.
  8. Click OK after reading the approval confirmation on the Submit Confirmation page.

Online: Approve or Send Back

  1. Sign in to PeopleSoft Financials with your CCID and password
  2. Click on Main Menu in the top left navigation area
  3. Click on Manager Self-Service
  4. Click on Travel and Expense Center
  5. Click on Approve Transactions under Manage Approvals
  6. All Credit Card Statements requiring your approval will appear in your list.
  7. Click on the Transaction ID or Description link to open the Credit Card Statement
  8. Review the details.
  9. Scroll to the bottom of the page to view action buttons:
    1. Click the Approve button if the Credit Card Statement is okay to process or
    2. Click the Send Back button if the Credit Card Statement needs to be returned to the cardholder for revision. Note: If selecting Send Back, you will be prompted to enter comments, which will be recorded on the Credit Card Statement and emailed to the cardholder.
    3. Click OK after reading the approval confirmation on the Submit Confirmation page.
